Urology of Virginia, with over 55 providers, has a long-standing reputation for providing cutting-edge care. Globally renowned and committed to innovation, the practice has grown to six locations across the region, continually meeting the needs of its diverse patient base. With a strong focus on the latest technology and research, the group has always prioritized patient outcomes, but as its footprint expanded, so did the challenges of maintaining personalized, efficient care. To address this growing demand, Urology of Virginia partnered with EngagedMD to help transform their patient education process, streamline consultations, and boost clinic efficiency. Dr. Langston, Managing Partner, and Chief Executive Officer, shared how this partnership has profoundly impacted their operations and patient care, particularly when it comes to vasectomy consultations.
Addressing the need for standardization and efficiency
Urology of Virginia faced a significant challenge with the repetitive nature of patient education. Dr. Langston describes the situation: “We kept repeating the same information for patients with similar conditions. It just wasn’t sustainable, especially with our resources stretched thin. We needed to standardize the patient experience so that everyone got the same consistent and efficient care.”
In addition to this, the clinic struggled with long wait times, often booking vasectomy appointments months in advance. EngagedMD was introduced to address these issues and enhance patient throughput.
Streamlining consultations and reducing wait times
To tackle the backlog and eliminate the vasectomy patient waitlist, Dr. Langston set aside an entire day to see vasectomy consults with EngagedMD’s help by assigning patients the Vasectomy procedure educational modules beforehand. “Honestly, it felt like a more relaxed day than usual,” he reflects. “I managed to see 45 patients and 95% had completed the modules. The prepared patients came in with minimal questions, allowing a relaxed and efficient consult. It was absolutely incredible. A colleague told me it couldn't be done, but it was not only efficient and productive but also very enjoyable.”
Patients seem to appreciate this streamlined process too—one noted in a survey, ‘They [the modules] addressed all my questions about how it is done and what to expect before, during, and after the procedure.’
Dr. Langston further reflects, “It was night and day from what that would have looked like in a pre-EngagedMD era.” Despite the shorter consultation times, Dr. Langston maintained a personal touch: “I could still talk to patients and have more personal conversations about specific post-surgery expectations based on their jobs or lifestyle.”
He also emphasized the impact EngagedMD has had on patient preparedness: “There are no unknowns—it goes a long way for the patient experience.” By the time patients arrived for their consultations, they were well-informed, which significantly reduced the need for in-depth explanations. Dr. Sappal, a Urologist at the practice who has also been assigning his patients the EngagedMD modules, further added, “After watching the Vasectomy module, I think the patient comprehension is very good, and it's shaving off at least 50% of the time it takes me to see them.”
This combination of efficiency and a more relaxed workflow has transformed the way Urology of Virginia manages vasectomy consultations.
A positive impact on clinic operations
EngagedMD has also made life easier for clinic staff by reducing repetitive educational tasks. “Minimizing patient phone calls, reducing in-room time, and standardizing the patient experience—these changes have been great for us,” Dr. Langston explains. “It’s freed up the staff to focus on other things, like charting in real-time, and not having to take work home with them at night, which has been great for morale.”
Meeting community needs with EngagedMD
Urology of Virginia’s collaboration with EngagedMD illustrates the importance of meeting community needs while maintaining high standards of care. With a bold goal of doubling vasectomy capacity within a year, Dr. Langston emphasizes the critical role EngagedMD plays in this effort: “In an industry facing serious workforce shortages, we have to find ways to manage patient volume without compromising the quality of care. EngagedMD has been a key tool in making that happen.”
Through this partnership, Urology of Virginia has not only enhanced patient care but also positioned itself to scale operations efficiently. By leveraging EngagedMD’s streamlined patient education modules, they are addressing the growing demands of their community, improving the patient experience, and reducing staff burnout. “We’ve been able to take on more patients without sacrificing the personal touch or overwhelming our staff,” Dr. Langston explains, making this collaboration a vital component of their continued growth.
Building on this success, Urology of Virginia is now expanding EngagedMD’s use across other areas of their practice. Early utilization for prostate biopsy and erectile dysfunction procedures has received overwhelmingly positive feedback from patients. Additionally, with Prostate Cancer education currently in development, there’s growing excitement about how EngagedMD will continue to improve patient experiences and streamline consults for even more procedures.
